This section will describe the relationship between Billing Accounts, Customers, and Practice Doctors.
1. Billing Accounts are the highest level in regard to Accounting.
- A Billing Account would be useful if, for instance, there are three Customers that work at separate offices. All of these Customers send in Cases separately throughout the month, but there is one person or Company responsible for paying their Invoices.
- These Customers can be set up under a Billing Account. The balances for all of these Customers will be combined under the Billing Account which allows for an overview of their totals.
- Payments can be submitted directly to the Billing Account and allocated to individual Customers' Cases. They can also choose to have one Statement with each of the individual Customers' Cases listed.
- When the option 'Do not send Individual Statement' is selected, only the Billing Account will receive the Statement for Customers. Customers will not be sent an individual Statement.
- Billing Accounts do not have their own Account Numbers.
2. Customers are the second highest level in regard to Accounting.
- Customers can send in Cases, be scheduled for Pickups, assigned to Calls, sent emails, etc.
- If a Customer is not assigned to a Billing Account, they will receive a Statement with their individual Cases.
- Customers do have their own Account Number (listed on the 5. Accounting tab of the Customers form) which can be used when making Payments.
3. Practice Doctors are the lowest level in regard to Accounting.
- Practice Doctors are generally Doctors that work at the same Practice as the Customer.
- If they are a traveling Doctor, they can be assigned as a Practice Doctor for multiple Customers. This allows them to distinguish between Cases they worked on with Customer A and Cases they worked on with Customer B.
- There is an option to use the Practice Doctors Master list so the information does not need to be re-entered for additional Customers.
- When creating a Case, the Customer corresponds to the Customer ID. The Doctor Name on the Case is where a Practice Doctor would be set.
- Practice Doctors are not expected to receive individual Statements. Their Cases will be listed on the Statement for the corresponding Customer ID(s). The Statement can be broken down by Practice Doctor assigned to the Case.
